Service Booking

Nepal: At least 3 weeks prior of the service starting date, a booking with name list, booking form and 50% payment of the service should reach us.

Tibet: At least 4 weeks prior of the tour, a booking form with full passport details including date of birth, occupation, home address and all payment of tours should reach us.

Bhutan: Booking for Bhutan tour should reach us eight weeks in advance with passport details and 50% of tour cost. Thirty Days prior to the tour, full payment must be made for confirmed bookings.

Cancellation Policy

Upon receipt of a written cancellation request from the clients, we will precede the following refund plan:

Cancellation rule for Trekking/hiking/tour etc.

  1. Cancellation before 30 days of the trip, 10% cancellation will be charged.
  2. Cancellation before 15 days of the trip, 25% cancellation will be charged.
  3. Cancellation before 07 days of the trip, 50% cancellation will be charged.

No refund thereafter in any case.

Cancellation rule for Peak Climbing & Expedition

  1. Cancellation before 60 days of the trip, 10% cancellation will be charged.
  2. Cancellation before30 days of the trip 25% cancellation will be charged.
  3. Cancellation before 15 days of the trip 50% cancellation will be charged.
  4. No refund thereafter in any case.
  5. The cost of Climbing Permit/s already purchased is/are not refundable.

Tibet and Bhutan: 50% cancellation fee will be charged for confirmed bookings within two weeks prior to departure no refund thereafter.


SOUTHWHOLE TREKS makes every effort for smooth operation of the programs. However, all the Tibet, China programs are conducted strictly by Tibet Tourism Authority / Chinese tour operator. Hence SOUTHWHOLE TREKS or its agents are not responsible for any change or alteration of programs and sightseeing points. If any unforeseen circumstances occurs such as road barricade, flood, Mudslide, snowing, Turbulence, flight cancellation, delay arrival of clients, sickness, accidents or any casualties are beyond its control thus any extra cost caused there of should be borne by the clients personally on the spot. No responsibility for in the printed programs and its duration, types of vehicles used, personal belongings, luggage and change of Hotels / Guest Houses.

SOUTHWHOLE TREKS undertaking tours, transportation, hotel accommodation and other services only acts as an agent on the clear understanding that it shall not be, in any way, responsible or liable for any accident, damages, loss, delay, international flight cancellation/delays, or inconvenience caused in connection with the travel facilities arranged by the company, its employees or agents. All bookings are accepted and executed with utmost care, yet no responsibility is undertaken for any change or deviation because of factors beyond our control.

Risk Assumption

The traveler/trekker understands that during the course of the trip, certain risks and dangers may occur, including, but not limited to, the hazards of traveling in mountainous terrain, accident or illness in remote places without medical facilities, and the forces of nature. The traveler/trekker agrees to assume all risks associated with the journey, and agrees that no liability will be attached to the company or its outfitters, employees or agents, or to any member of the tour/trek group in respect to death, personal injury, illness or delay of travel/trek, or for any loss or damage to the property of the traveler/trekker during the course of the trip, however caused.


It is a condition while booking treks and tours with us that travelers/trekkers must be protected by insurance themselves at their home country. The policy must cover the cancellation, accidents, health, emergency evacuation, and loss of items, theft of or damage to baggage and personal effects. If any individual and group member is making the trip without such coverage, he/she/they will not be the responsibility of the COMPANY, its staff and agents.

All costs for emergency evacuation must be paid in cash in Nepal unless an insurance company has agreed to pay the costs on your behalf. It is important that any insurance policy issued to cover emergency evacuation for trek/tour does not exclude alpinism or mountaineering.

Trekking guides, porters, staffs and employees from the company side will be insured by company.


A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.


You agree that SOUTHWHOLE TREKS may use images and videos you have taken during the trip without prior approval and compensation to you, for publicity and promotional purposes.


In order to collect information from you to making a booking through our company we ask many questions to obtain the necessary permits etc. No private or personal information that you supply to us when making a booking will be disclosed for any other purposes.


If you have any subject of complaint about the trip, you must inform to the trip leader or guide at the earliest and provide opportunity to correct him/them at once.

Supplement Charge

On our trekking and tour packages, rooms or tents are provided in twin sharing basis. Thus, single room supplement charge will be applicable to the client who does not have another tour participant to share room / tent.

Amendment of tour cost

We reserve the right to revise pricing quoted with our programs, under any circumstances, or on the pressure of various external factors that are not in our control, suppose huge fall in exchange rate, government action etc. However, we put forth effort to keep on the present rate.

Clients Responsibility

A tour / trek guide who represents SOUTHWHOLE TREKS (P) Ltd. reserves all authority during your trips. If you commit any unlawful act or carelessness that compelled you to leave the trip, no refund will be made in such case.

Impact on Your Journey

We put our every effort to ensure comfortable travelling, but it is a must to understand that what you might be accustomed to in the western affluent countries, the Himalayan countries cannot afford such facilities. Weather is another factor that directly affects your journey. Hence, patience in mind, enthusiasm and proper preparation before departure is highly recommended for your comfort.
